Scenario 5: Student adds a class

 Goal

  •  Student achieves course schedule that better matches his/her academic goals

Pre-Conditions

  • Student is enrolled (through advisor) for the semester in which a class is to be added (the enrollment "flag" is lifted for that semester by the advisor)
  • Student has confirmed availability and schedule of class to be added
  • System has verified that student meets pre-requisites for the class to be added
  • Class to be added supports the student’s overall course of study

Advising System

1.

Student accesses records through KATS (K-State Access Technology System), the online student information system

 

2.

 

System produces current enrollment status from student information data

3.

Student adds class, identifying name, section (if more than one exists) and days/times the class meets

 

4.

 

System verifies availability of desired class and adds it to the student’s semester schedule, and to the class instructor’s student roster

5.

Student receives verification that requested class has been added

 

6.

 

System prints copy of schedule for final verification

Post-Conditions

  •  Student verifies with instructor that he/she is enrolled in the class, and receives information concerning any material that has been missed prior to enrolling

 Scenario 6: Student drops a class

 Goal

  •  Student removes a class from the current semester that conflicts with overall progress toward academic goal

Pre-Conditions

  • Student is enrolled (through advisor) for the semester in which a class is to be dropped (the enrollment "flag" is lifted for that semester by the advisor)
  • Student has notified the instructor for the class which is to be dropped of his/her intentions, and (in some disciplines) has received permission to drop the class

Advising System

1.

Student accesses records through KATS (K-State Access Technology System), the online student information system

 

2.

 

System produces current enrollment status from student information data

3.

Student removes the class from the current semester schedule

 

4.

 

System verifies action by student and any accompanying ramifications (withdrawal date and status, is dropped class on permanent record, is drop request after penalty deadline, etc.), adjusts student’s semester schedule, and notifies the class instructor

5.

Student receives verification that the course has been dropped, along with any ramifications from that action

 

Post-Conditions

 (If student drops while passing, and/or prior to "penalty" deadlines) no record of student enrollment in the class remains on the student’s official academic record beyond the current semester

  • (If student drops while failing, and/or after "penalty" deadlines) "withdrawn while failing" notation becomes a part of the permanent student academic record

NOTE: When a student changes from one section of a course to another section of that same course, the 
"drop-add" process includes both of the above scenarios (Student adds a class, and Student drops a class) and 
generally must occur within the first week of the semester, and with the permission of the instructor of the section 
to which the student is being added.

 Scenario 26: Student withdraws from the university (mid-term)

 Goal

  •  Adjust records to reflect student disengagement from the institution

Pre-Conditions

  • Student is unable or unwilling to continue pursuit of his/her academic goals
  • Student has informed advisor of his/her intention to withdraw from the university in the middle of the term
  • Student has scheduled an appointment with advisor, and is physically or virtually present

1.

Advisor requests student academic profile

 

2.

 

System provides requested files

3.

Advisor reviews profile, explains consequences of withdrawal and policies & procedures regarding final termination and/or readmission. Advisor confirms student intention to withdraw

 

4.

Advisor sends student to Dean’s office to fill out a withdrawal form

 

5.

Student requests withdrawal form from Dean’s office

 

6.

 

System provides withdrawal form

7.

Student fills out & submits withdrawal form

 

8.

 

System logs information, updates files, notifies advisor of withdrawal

9.

Advisor notes official withdrawal of student

 

Post-Conditions

  •  Student is officially withdrawn from the university
