 Scenario 18: Advisor monitors academic progress

 Goal

  •  To provide guidance and counsel to student during his/her pursuit of a terminal degree

Pre-Conditions

  • Student and advisor have met and developed course schedules for at least one prior semester
  • Advisor has access to student academic and non-academic records, academic profile
  • Student has states his/her educational goals
  • System has capability of interrogating all relevant data bases and providing reports to a single work station

Advisor requests student academic profile, related data

Advisor compares progress with discipline requirements, typical progress anticipated of successful students. Logs comments into system.

Advisor’s comments with regard to student academic progress are now in the system

  •  Advisor is prepared to counsel student at next advising session regarding continuation of current academic pathway

 Scenario 19: Advisor explains policies & procedures

 Goal

  •  Student gains a clear understanding as to the policies and procedures to be followed in each of the possible actions to be requested by the student during his/her academic course of study

Pre-Conditions

  • Student knows his/her advisor
  • Advisor is aware that student is assigned to him/her
  • Student has made an appointment with the advisor, and is present either physically or virtually
  • Advisor has reviewed available data concerning student educational goals, academic profile

Advising System

1.

Advisor interrogates system for policies and procedures concerning most typical actions requested by a student during academic career (registering, developing a course schedule, declaring a major, changing a major, adding and dropping courses, withdrawing from the university, applying for graduation, etc.)

Advisor and student review policies and procedures. Advisor responds to questions, searches system for answers to questions for which advisor has no answer

 

4.

 

System provide available additional data

Advisor enters notes, summarizing session with student

System accepts additional data, updates files

Student and advisor have common understanding of policies and procedures throughout degree completion path

 Scenario 20: Advisor notifies advisees of pre-enrollment window for following semester

 Goal

  • To inform all advisees of pre-enrollment time-frame
  • To encourage them to schedule pre-enrollment advising appointment.

Pre-Conditions

  • Advisor has list of all assigned advisees
  • Advisor has email addresses of all assigned advisees
  • Email addresses have been input into database
  • Email addresses have been compiled into Distribution List

Advisor creates pre-enrollment message

Advisor creates calendar and tickler file, which is entered into system, along with Advisee Distribution List

 5.

Advisees receive and read message

  •  Advisees have been notified of pre-enrollment period.
  •  Evaluates and approves class schedule (repeat from Initial Interaction Scenario)
